Send as Zip File (Word/Excel/PowerPoint)

WinZip® Courier allows you to quickly and easily zip and e-mail the Office document you have open.

To use this feature, simply open the File menu and choose Send as Zip File:

This will display the dialog shown below in Courier 7 (previous versions may not have all of the options shown). (In most cases, documents need to be saved as regular document files before they can be sent as Zip files.)

Your options in this dialog are:

  • Zip file name: WinZip Courier will suggest a file name. You can leave this selected, or you can specify a different name by clicking Use this name and typing in the desired name. Please specify the file name only; do not include a drive letter or folder name.
  • Compression Method: You can choose either Zip: Legacy compression or Zipx: Best method. The choice will depend on what Zip file utilities your recipients have; please read about compression methods for further information.
  • Conversions:
    • If you want to encrypt the document in the Zip file e-mail attachment, check Encrypt document when zipping. Before the document is zipped, you will be able to specify a password.
    • Check Convert to PDF if you want your document to be converted to a PDF format before being added to the Zip file attachment.
    • Check Watermark PDF Image if you want your PDF to have a watermark also before being added to the Zip file attachment.

When the options are set as desired, click OK. WinZip Courier will create a new e-mail message using Outlook, zip the current document, and attach the Zip file to the e-mail. You can then address the e-mail message, add body text, and send the e-mail as you usually would.

Click Cancel to return to your Office application without creating the e-mail or Zip file.

You must send or close the e-mail message created by this feature before you can continue using your Office application. While the e-mail is open, you will not be allowed to edit the current Office document, create a new Office document, or open a different Office document, including the one in the Zip file attached to the message you just created. Once you close or send the e-mail, you will be able to resume using the Office application. If you wish to view the document in the Zip file attached to the e-mail, save the message, close it, then reopen it in your e-mail application. (Note: Excel will not allow you to open documents with the same name even if they are in different folders)
 

Using an alternate file name extension

Zip files normally use the ".zip" or ".zipx" extension. Some e-mail systems may restrict or reject attachments with this extension due to security concerns.

If you find this to be a problem, you can instruct WinZip Courier to use a different extension for your zipped attachments. This configuration change must be made in Outlook in the WinZip Courier Options on the Attachments Options dialog. To reach the WinZip Options, in Outlook on the Home tab, click on the Courier dropdown and click Options; then on the WinZip Options dialog, click on Attachment Options. On the Attachments Options dialog, check the Use custom file extension and enter the custom file extension that you want to use into the edit box.
